Event direction and design

The concept, the running order, the choice of suppliers and the direction on the day. Direction holds the creative, technical and operational sides together, and one person answers for all of it.

What's included

  • Concept and moodboard

Does direction include finding the venue?

Yes. We start from the concept, choose the spaces and carry it through to the direction on the day.

How far ahead should we start?

For large events or popular venues, write to us 3–4 months ahead. We also work with 4–6 weeks.

Guest management and travel

From the guest list to the last hotel check-out. We collect every guest's confirmations, dietary needs, arrivals and departures and keep them up to date until the event. Flights, hotels and transfers go through our in-house travel agency, Taols.it.

How many guests can you handle?

Saint Laurent's annual meeting at Stazione Leopolda had 900 guests across the plenary, a dinner show and the after party.

Yes, through our in-house travel agency: one contact for the event, hotels and transport.

Hostesses, stewards and hospitality

The people your guests meet first. Hostesses and stewards for registration, accreditation, assistance in the room and access control, coordinated on site by our team.

Is there a staff lead on site?

Yes, our team coordinates hostesses, stewards and suppliers for the whole event.

Do you also provide staff for fairs and presentations?

Yes. For Chanel we handled hospitality during Pitti Immagine.

Entertainment and shows

Live music, DJs, performances and shows, chosen for the audience and the moment of the evening. We build the running order with the direction and technical teams, so every act comes in at the right time.

Can I choose the artist?

Yes. We work from your brief or suggest a selection that fits the audience and the tone of the event.

Set design and production

Sets, stages, lighting, audio, video and LED walls. We design, build and dismantle them, and on the day we coordinate the crews on site.

How we work

From first contact to the final report, with one point of contact

You don't need a finished plan to get in touch. Many clients write to us with just a date, a guest count and a goal. We build the rest together.

    The brief

    A call or a meeting to understand goals, guest numbers, dates and budget. You don't need everything figured out: we build it together.

  2. 02

    First reply in 48 hours

    Within two days we reply with first ideas and the questions we need to move forward, with no obligation.

  3. 03

    Proposal and quote

    Within 7 working days you receive the creative proposal with venues and a detailed, itemised quote.

  4. 04

    Production

    Once approved, we handle everything: set design, technical production, catering, staff, guest logistics and transfers. Your point of contact stays reachable throughout.

  5. 05

    Event and report

    On the day, our team is on site. Once the event is over, you receive the post-event report.

How much does an event cost?

It depends on the venue, guest count, technical setup and catering. Before anything starts you get a detailed, itemised quote.

Who will look after our event?

One point of contact, from the first call to the post-event report, who coordinates our in-house team and stays reachable up to the day of the event.

Do you only work in Tuscany?

No. We are based in Florence and work across Italy, in big cities and smaller places alike.
